Client story: ninety delegates, four countries, three days in Lisbon

What it actually takes to move a conference audience across Europe without losing anyone.
Solent Pharma came to us eleven weeks before their annual conference with flights unbooked and a venue contract already signed.
The problem. Ninety delegates departing from the UK, Ireland, Germany and Poland, arriving within a four-hour window, with fourteen dietary requirements and two wheelchair users.
What we did. Grouped departures into six flight blocks to simplify transfers. Negotiated a single hotel contract with a shared arrivals desk. Built one delegate portal so nobody emailed us their passport twice.
The result. Every delegate arrived on schedule. Two flight disruptions were rebooked before the delegates knew about them. The client came back the following year eight months in advance.
