Building a travel policy your team will actually follow

By Amelia Hart · 21 July 2026 · 5 min read

The best travel policies are short, specific and make the compliant choice the easy one.

Most corporate travel policies fail for the same reason: they are written as a legal document rather than a practical guide.

Keep it to two pages. Class of travel by flight duration, hotel caps by city, and what needs pre-approval. Everything else is detail that belongs in a booking process, not a policy.

Set city caps, not country caps. A single UK hotel cap makes no sense across London and Leeds.

Make the compliant route the fast route. If booking through the agreed channel takes ten minutes and booking direct takes two, people will book direct. We fix that by handling the booking for them.

Review quarterly. Rates move. So should your caps.
